Overview

Brand staff can place wholesale orders for an Account (sales-book buyer) or a Dealer location (approved Connection). Work top to bottom: buyer → lines → shipping → payment → place.

Staff need Manage Orders (sales:manage-orders) unless they are an admin or super admin.

Steps

  1. Go to Sales → Wholesale OrdersCreate.
  2. Under Place order for, choose Account or Dealer.
  3. Select the Account (or Dealer location).
  4. Add line items (variant, quantity, unit price).
    • Account lines can use dealer-type / price-list suggestions.
    • Connection (Dealer) lines need an explicit unit price.
  5. Choose shipping:
    • Confirm freight now, or
    • Choose Shipping TBD and place now—TBD does not block placement.
  6. Choose payment:
    • Bill later — offline / bill-later workflow.
    • Pay now (Ordrly Pay) — collect card in session, or email a payment link (Account orders).
  7. Click Place Wholesale Order.

Bill later vs Pay now

Option Best for What happens
Bill later Classic rep / offline billing Order follows your offline approval rules
Pay now — in session Buyer is present with a card Order is created; collect payment with Stripe on the same screen
Pay now — email link Account orders when the buyer pays later Secure payment link emailed to the Account

After in-session Pay now, the Place button disables and card collection continues for that order so you do not accidentally create a duplicate.

What happens next

  • The order appears in Sales → Wholesale Orders.
  • The placing staff member is recorded for audit.
  • Inventory follows your inventory authority rules.
  • For Pay now, complete card collection (in session or via the emailed link) before fulfillment expectations that require payment-received.

Tips

  • Prefer Account when the buyer is not an Ordrly Connection yet.
  • Link the Account to a Dealer later for history continuity—optional.
  • If unit price is missing on an Account line, set a Dealer Type or enter price manually.
  • Shipping TBD is intentional: lock the sale first, confirm freight second.
